
Assistant Controller

REPORTS TO: Sr. VP Operations and Technology
FLSA CLASSIFICATION: Part-time, Non-Exempt
POSITION DESCRIPTION: The Assistant Controller assists the CPA and Sr. Director of Operations and Technology in managing a company’s financial operations, ensuring accurate financial records, and providing financial information to management. They play a crucial role in financial reporting, budgeting, and financial analysis while contributing to audit preparation, internal control maintenance, and working proactively with the leadership team to ensure the vitality and health of the organization’s budget and advance its mission.
FINANCIAL MANAGEMENT AND ADMINISTRATION:
● Assist with developing and tracking annual budgets, monitoring actual performance against budget, and analyzing variances.
FINANCIAL ANALYSIS AND REPORTING:
● Prepare reports for grants and donors
● Monitoring grant agreements to ensure compliance with funding requirements
● Support strategic decision-making by providing insights into financial performance
EXAMPLES OF SPECIFIC TASKS:
● Assist with managing cash flow and forecasting
● Monitoring and reporting on endowment investments
ADVANCEMENT TEAM:
● Maintain clear documentation of grant documents and release schedules.
● Track and document: grant agreements, addendums, budget modifications, or extension approvals. Upload them to the opportunity in Salesforce and communicate any relevant information to the grant manager
● Monitor grant-specific budgets
● Track grant-specific revenue and expenses; ensure proper matching to budget classes and compliance with donor restrictions
● Communicate with the grant manager and the Programs team leadership if spending is off-track, over, or under budget
● Provide budget vs. actual reporting by grant to the grant manager for reporting to the funder
● Analyze grant activity; proactively advise the grant manager on risks, opportunities, and allowable reallocations
● Ensure that restricted funds are spent first (when appropriate) before using unrestricted funds
- Has a deep understanding of restricted vs. unrestricted funds.
- Experience with different types of restricted funding (location-based, deliverables-based, accounting)
● Provide accurate, timely financial reports that align with the funder’s reporting requirements
● Reconcile internal records monthly (expense sheets, budgets, receipts, etc) to funder reports to ensure consistency
● Support narrative impact reports with financial documentation to the grant manager and advancement team when needed
● Role reconciling gala/event income, individual donor revenue, donor in-kind, and multi-year commitments
TEMPORARY RESTRICTED FUNDING RELEASE (Quarterly)
● Upon receipt, record the donation on the Temporarily Restricted Funds document. Funds are released from restriction when the donor condition is satisfied: either the specified time period arrives, or the designated purpose is fulfilled
● At the start of each quarter, review expenses and activities to verify that grant conditions are being met
● Record total expenses for each grant on the document to calculate how much will be released
● Report on releases in quarterly financial reports to leadership, showing how much-restricted funding has been released and spent
INTERNAL PROCESS OPTIMIZATION:
● Expected to improve or refine financial processes, not just maintain them
● Provide recommendations for improvement, automation, or streamlining of manual processes, particularly in processes for gift entry and reconciliation
● Provide training to staff in support of budgeting and grant management responsibilities
EDUCATION AND EXPERIENCE:
● A BA/BS degree and two years of relevant and impactful experience are preferred
● Four years of relevant and impactful experience can be substituted for the above

● Advanced skills in Microsoft Office (especially Excel and Word), Google Suite Applications, CRM/donor databases (Salesforce preferred), and Project Management Software (Asana preferred)
● Experience with or knowledge of military culture and customs preferred
● Veteran or military spouse preferred
WORK ENVIRONMENT:
● United Through Reading is a virtual organization. Most daily tasks are performed from home or personal office space, utilizing online services and video and audio conferencing
● Home or personal office space must have stable broadband Internet access, as well as some storage space for supplies
● Reliable transportation, as well as up-to-date insurance, is required to perform (approx. 5-10%) weekly duties
● Additionally, some travel (15-25%) may be needed to support local and national events
